How admins use Expensify Card spend rules to control spend before it happens

How admins use Expensify Card spend rules to control spend before it happens

The Expensify Visa® Commercial Card does a lot more than pay for things. With spend rules, you decide exactly how, where, and when each card can be used, and every charge gets approved or declined in realtime before it goes through.

Key takeaways

  • Spend rules check every Expensify Card transaction in realtime and return one answer, approved or declined
  • Each rule combines three settings: permitted currencies, a maximum transaction amount, and merchant restrictions
  • Giving every subscription its own card keeps vendors from charging more than they should, even when the card owner changes teams
  • The Expensify Card is available to businesses in 14 countries across the US, UK, and EU

Five ways admins are using spend rules

Lock a card to a subscription

Give every recurring SaaS tool its own card so a vendor can only ever charge what it should. If the card owner switches teams or leaves, the subscription keeps humming along. No swapping cards or missed payments.

Cover a one-time purchase

Issue a single-use virtual card for an event registration or a contractor payment. It shuts itself off after the first charge, so nobody gets billed twice.

Set a card to expire on a date

Give a virtual card a start and end date, and it stops working the day the trip or project wraps. Nothing to clean up later.

Limit a card to what someone actually buys

Your office manager needs printer paper, not a new monitor. Allow or block specific merchants and merchant types and the Expensify Card only works where it should.

Keep international spend in check

Restrict a card to approved currencies, and surprise foreign charges stop getting through. The settlement currency is always permitted, so day-to-day spend never gets caught in the crossfire.

Rules and limits are better together

Expense rules decide where a card works. Limits decide how much it spends. Pick Smart, Monthly, Fixed, or Single-use when you issue the card, add a rule on top, and spend control happens at the register instead of three weeks later in a reconciliation spreadsheet.

Now available in 14 countries

Expensify Cards can be issued in the United States, United Kingdom, Ireland, the Netherlands, Spain, Poland, Sweden, Denmark, Finland, Belgium, Luxembourg, Latvia, Lithuania, and Gibraltar.

Set up your first rule in a few minutes

Rules take effect immediately on every future transaction for the cards you pick. Set one up from the Rules tab, or add it while issuing a card so the controls are live from the very first swipe.

Set up Expensify Card spend rules, or just ask, and we'll walk you through it.

P.S. Put at least half your company spend on the Expensify Card and you'll get 50% off your Expensify subscription, plus 1% cash back on every swipe and 2% above $250,000 in monthly card spend. Cash back applies to USD purchases on US cards.
