Automating Spend Management

Footballco is the world’s leading football media company, with 500 employees across 18 entities. The company started using Expensify in 2020 after splitting off from a larger parent company.

“Before Expensify, there was no integrated process for employee expenses and corporate cards,” says Lukasz Wiecek, Head of Finance at Footballco. While Footballco had ten accountants in Poland, and three in the UK, everything was done in a more ‘traditional’, manual way: “In practice, Footballco needed three teams to process expenses, and business cards were a separate process outside of expenses. It was complicated and corporate cards were available to a limited number of employees,” says Wiecek.

When the accounting team started looking at expense management systems, someone had recommended Expensify for its integration with NetSuite. “When we were researching expense solutions, we wanted something that communicated well with NetSuite in order to make reconciliation easier. We’ve found that Expensify has the best integration with NetSuite compared to other systems, and we’ve been incredibly impressed by it,” says Martyna Krupa, AP Team Leader at Footballco.

A Surprising Benefit

Once Footballco adopted Expensify, the team realized an unforeseen benefit in addition to the smooth reconciliation process and consolidated reporting: By implementing Expensify, a time-consuming task that was traditionally performed by junior employees was entirely automated. This reduced delays, improved the knowledge of the team, and minimized the need for hiring and training new recruits to perform this manual task.

According to Lukasz, Expensify does the heavy lifting of a very manual job: “If we didn’t have Expensify, Footballco couldn’t exist with such a small and efficient team as we have now from an accounting perspective.”

Employee Travel: A Win at the World Cup

Footballco's team put Expensify to the test during the 2022 World Cup hosted in Qatar. Around 50 of their staff traveled for the event, meaning lots of travel expenses for the team to book, and later Martyna and Lukasz to approve when the team returned. However, Footballco took advantage of Expensify’s company credit card, The Expensify Card, which makes tracking employee spend incredibly simple.

Employees could easily book travel, pay for food or their accommodation with the Expensify Card, and Expensify would automatically add the purchase as an Expense to their account.

It’s no longer necessary for people to pay for company expenses out of pocket.

“It’s a massive improvement on what you can offer to your employees, and how easy you can make expense submission for them,” says Wiecek. “It’s no longer necessary for people to pay for company expenses out of pocket, which is a boost to our employee’s experience. Overall, Expensify has been a huge win for our team and our employees.”
