Ending a legacy expense management process

LJ Hooker, Australia’s largest real estate agency, stays ahead in a competitive industry by embracing technology for its customers and employees. But one aspect of their internal operations lagged behind the rest of the company’s tech-savvy processes: expense reports.

They implemented a legacy expense management product in 2012, but staff didn’t like using the app, and corporate card reconciliation was still a huge pain point for the finance team. So LJ Hooker Corporate was left with a very manual expense claim process: spreadsheets, signatures, and crumpled receipts, which employees had to fax or mail to headquarters before finally getting reimbursed.

The finance team wanted to permanently close the books on its manual receipt and expense management process, so LJ Hooker Corporate turned to Expensify.

Expense efficiency and visibility

When Justen Ramzan joined LJ Hooker as a financial controller in 2018, his top priority was to improve the team’s clunky expense management process. Expensify caught his attention with its user-friendly design, automated approval workflow, and direct sync with NetSuite.

“Implementation was fast and simple,” recalls Justen. “The Expensify team was really supportive and helped make the transition very smooth. Expensify is a win-win for all: our managers appreciate seeing the expenses in real time, as soon as they occur. Employees love the ease of submitting expenses from the road and receiving the reimbursement before the end of their trip. As for the finance team, we save two whole days every month with Expensify’s automatic card reconciliation and direct sync with NetSuite.”
